Outlets and team

Change a role or remove someone

Edit a team member’s role, outlets and extra permissions, filter the team by outlet, or remove someone straight away.

Updated

People’s jobs change: a member of staff becomes a manager, someone moves branch, someone leaves. Owners and admins manage all of it from the Team screen, and every change takes effect straight away, on every device.

Open the team

Go to Settings and, under Business, tap Team. The screen lists Members, each with their role, their outlets and what else they’re allowed to do, for example “Staff · Main Street · corrects stamps”. With several outlets, the chips at the top filter the list by outlet.

Change someone’s role or outlets

  1. Tap the person.
  2. Change their Role, their Outlets, or both.
  3. Under Also allowed to, tick or untick:
    • Add or remove stamps as a correction
    • See customers and their history
  4. Tap Save.

The two extra permissions don’t show for admins, who always have both. Roles: owner, admin, manager and staff sets out what each role can do, and choose who works at each outlet explains outlets.

Who can change whom

You can only manage roles below your own. An owner can change admins, managers and staff; an admin can change managers and staff. Nobody can raise their own role, and nobody can promote someone to their own level. The owner’s role is never changed from the Team screen.

Remove someone

When someone leaves:

  1. Tap the person, then Remove from the team.
  2. Confirm.

They lose access straight away, including at the till. If they were signed in on a shared phone, the next thing they try is refused. Everything they did stays in your records: the stamps they approved are still on customers’ cards and still counted in Insights.

You can invite them again later with a new invitation.

Leaving a team yourself

To stop working at a business, ask one of its owners or admins to remove you. Your NextStamp account, and any cards you hold as a customer, stay as they are. Deleting your whole account also takes you off every team; see delete your account or your business.

Handing over the business

There’s no way to move the owner’s role yourself yet. If ownership of a business needs to change hands, email support@nextstamp.app from the owner’s address to talk it through.

Invitations

Pending invitations are listed under Open invitations, each with Revoke. See invite your team.

Keeping access tidy

  • Review the Members list whenever someone’s job changes.
  • Keep See customers and their history to the people who need it.
  • Give Add or remove stamps as a correction to the people who put things right when a stamp was missed, usually managers.
