Roles: owner, admin, manager and staff
What owners, admins, managers and staff can each see and change, and the two extra permissions you can give.
Everyone on your team signs in with their own NextStamp account and has one of four roles in your business. The role decides which tabs they see, what they can change and which outlets they work at. NextStamp checks it on every screen and every action, so hiding a button is never the only thing standing in the way.
The four roles
- Owner. Owns the business. The person who created it is its owner, and the role is never given or changed from the Team screen.
- Admin. Everything, at every outlet: cards, outlets, campaigns and the team.
- Manager. The till, stamp corrections and customers, at the outlets they’re given.
- Staff. The till: approving stamps and handing over rewards, at the outlets they’re given.

Owners and admins always work at every outlet, including ones you open later. Managers and staff work at the outlets ticked for them, or at all outlets if you choose All outlets, and any you open later. Choose who works at each outlet explains what that changes at the till.
The two extra permissions
Two things can be switched on or off per person, in Settings → Team, under Also allowed to:
- Add or remove stamps as a correction. On for new managers, off for new staff.
- See customers and their history. On for new managers, off for new staff.
Admins always have both, so the boxes don’t show for them. Change a role or remove someone shows where to change them.
Undoing a stamp at the till
The till’s Just now list lets people take back a stamp given by mistake. Anyone allowed to add or remove stamps as a correction can undo a stamp there, whoever gave it. Everyone else can undo stamps they approved themselves, within 10 minutes.
Who can invite whom
Only owners and admins open the Team screen. Each can invite and manage roles below their own: an owner can add admins, managers and staff, and an admin can add managers and staff. Nobody can raise their own role or promote someone to their own level. Invite your team has the steps.
Several businesses, several roles
Roles belong to one business. The same account can be an owner at one business and staff at another, and the business switcher at the top of the app shows the role beside each name.
