Look up a customer and adjust stamps

Find a customer, read their cards and history, and add or remove stamps as a correction with a reason.

Updated

The Customers screen lists everyone on your cards, with each person’s cards and history. It’s also where you put right a missed or mistaken stamp. Because it shows names and email addresses, only some of your team can open it.

Who can see customers

Owners and admins always can. Managers can unless you switch it off for them, and staff can only if you switch it on. The setting is See customers and their history, per person, in Settings → Team. See roles: owner, admin, manager and staff.

Find a customer

  1. Open Overview and tap Customers.
  2. Type in Search by name or email, or scroll the list, newest first.

Each row shows the customer’s name, or “Unnamed customer” if your card didn’t ask for one, with their email, last visit and visits, and their group under your visit rhythm. The chips above the list show one group at a time, with a button that starts a campaign for it. With no customers yet, the list says they appear when people scan your poster and join.

A customer’s page

Tap a customer to open their page:

  • At the top: their name, when they joined and their last visit, and whether they accept email offers from you (“Accepts email offers.” or “Has not agreed to email offers.”).
  • Cards: each of your cards they hold, with its stamps, for example “3 of 10 stamps · 23 in total”, their tier, and any rewards waiting, marked as a gift or with a use-by date.
  • History: every stamp, reward, gift and correction, newest first, with where and when.

Adjust stamps

When a stamp was missed or given by mistake, correct it here rather than giving an extra one at the till. Only people allowed to add or remove stamps as a correction see the button: owners always, and managers and staff if it’s switched on for them.

  1. On the customer’s page, tap Adjust stamps.
  2. Choose Add stamps or Remove stamps, and how many, from 1 to 20.
  3. Choose a Reason. Quick picks for adding are “Missed a visit”, “Goodwill” and “Phone wasn’t working”; for removing, “Given by mistake”, “Wrong customer” and “Duplicate stamp”. You can also type your own.
  4. With more than one outlet, choose the Outlet it happened at.
  5. Tap Add stamps or Remove stamps, with the number.

The customer sees the correction in their card’s activity, as stamps added or removed, and it’s recorded in the customer’s history with its reason. On a card that runs between two dates, corrections can’t add stamps outside those days.

What you can’t do here

  • Give a reward by hand. Rewards come from filling a card, from rewards along the way and tiers, or from a campaign. To give one customer something, add stamps as goodwill or send a gift campaign. See send a one-off gift.
  • Change a customer’s name or email. Customers manage their own account. If a customer asks, point them to manage or delete your account.
  • Delete a customer. A customer leaves by removing your card, which closes it, or by deleting their NextStamp account, which takes their name and email away from your records. See customer data: what’s kept and who sees it.

Using customer details responsibly

Customer names and emails are for running your loyalty card. Only email someone offers if their page says they accept email offers, and keep the Customers screen to the people on your team who need it. Offer emails and customer consent explains what that consent covers.
